Crew Paperwork Before Opening Day

Every season starts with the same paper chase. New guides, a new cook, a returning housekeeper who needs this year’s forms: someone has to print them, hand them out at camp or mail them, wait, chase, scan whatever comes back, and file it somewhere it can be found in March.

Hunt Outfitter now handles the staff side of that the same way it handles your hunters’ waivers.

Set your staff forms up once

On the Forms page, save the forms you give your crew as Guides & staff templates, separate from the waivers and agreements you send hunters. The tax and payment forms you collect every season, your camp rules, an equipment checkout: whatever your outfit hands a new hire.

On the Business plan, you can also send forms with blanks the person fills in themselves, which is what the tax and payment forms need. They type into the form itself, so what comes back is legible, and nobody has to transcribe it.

Send it from their page

Open a guide’s, cook’s or housekeeper’s page and click Send document. Pick the form. That’s it.

It shows up when they sign in to Hunt Outfitter on their phone. They fill in their part and sign with a finger. No printer, no envelope, no scan of a crumpled page from the truck.

Filed where you’ll look for it

The signed copy lands on that person’s page, next to everything else you keep for them. When your accountant asks in March, or a guide asks for a copy of what they signed, it’s one click instead of a filing cabinet.

Start with one

Before you send a new form to your whole crew, send it to one person, or to yourself, and look at the signed copy. Make sure every blank you meant them to fill is there and lands where it should. Then send it to everyone else.
