How to Fill Cancellation Hunts Fast, by Email and Text

A cancellation in the middle of the season is the most expensive empty slot an outfitter has. The dates are fixed, the tags may already be drawn, and the guide, the cook and the camp are committed whether or not anyone shows up. What decides whether that slot earns anything is usually speed: how quickly the opening reaches people who already want to hunt with you, and whether it reaches them somewhere they’ll actually see it in time.

Most outfitters handle this from their phone, texting the handful of hunters they happen to remember and posting to Facebook. That reaches the people who were front of mind, and it misses the dozens of inquiries from last winter who asked about exactly this hunt and never booked.

Who to send it to

The best audience for a cancellation hunt is people who have already raised their hand:

  • Leads who inquired but didn’t book, especially ones who came in through the same channel or list as the hunt that opened up.
  • Past clients who have hunted with you before and know what they’d be getting.
  • Current clients booked on other dates, some of whom would take a second hunt, or move up, if asked.

Leave out the people who have already told you no. Clients can be narrowed further by the hunt type or season they’ve booked, which is useful when the opening is a specific species.

Email first: it reaches everyone who can be reached

Email is what reaches the whole audience. A broadcast goes out under your name with a one-click unsubscribe, skips anyone who has already unsubscribed, and records the send on each lead’s timeline. When someone replies, the reply lands on that timeline too, so the first taker is easy to find and book.

Put everything a hunter needs to decide in the message itself: the hunt, the dates, the price, whether a tag is included or has to be drawn, and exactly how to claim it. Don’t make them click through to find out. The first hunter to write back “I’ll take it” is usually the one who didn’t have to ask a question first.

Text: faster, but only to hunters who said yes to it

A text gets read within minutes, which is what a cancellation hunt needs. It is also the channel with the least room for error, because marketing texts in the US need the recipient’s prior express consent to receive marketing, which is a separate thing from agreeing to receive booking reminders.

Hunt Outfitter treats those as two separate consents. A cancellation-hunt text goes only to leads and clients who have agreed to texts in general and to marketing texts specifically. Everyone else still gets the email. Texts go out from your own number, prefixed with your outfitter name so nobody wonders who is writing, and replies land on that person’s thread in the app. Anyone who replies STOP is opted out, and a reply never counts as consent to marketing.

That rules out a text blast to your whole contact list. What you get instead is a text to the hunters who have told you they want to hear about openings, which for a cancellation hunt is the list you want anyway.

Build that list before you need it. The time to ask a hunter whether they’d like a text when a spot opens is when they first inquire, or when they book, not the morning a client cancels.

A cancellation hunt message that works

A good cancellation-hunt message is short and complete, something like:

Opening: [species and weapon], [dates], [guide ratio], [price]. [Tag situation: included, transferable, or must already be held]. First to reply gets it. Reply to this message or call [your number].

Everything a hunter needs to say yes is in it: species, weapon, dates, guide ratio, price, the tag situation, and how to claim it. Adjust the tag line to the truth for your state and unit, since in some places a cancellation slot is only fillable by a hunter who already holds the right license.
