Make Sure Every Guide Has Read the Regs, Every Season

Every season starts with the same question: has every guide actually read this year’s regulations? Units change, bag limits move, a new closure goes in, and the outfitter is the one who answers for a guide who didn’t know. Most outfitters handle it with a group text and a link, which tells you who received the message but not who opened the synopsis, and it’s gone by the time anyone asks.

Hunt Outfitter’s season checklist for guides turns that into a short list every guide works through once a season, and a record of who confirmed what, and when.

Build the list once

On the Guides page, add the items every guide should read before they take clients out. Each one is a title, a link and an optional note, and typical items are this season’s hunting regulations or synopsis, the wildlife act or statute your license falls under, your guiding territory or unit map, and your own emergency or field procedures. Nothing is pre-filled, because the rules that matter are the ones for your jurisdiction, so you add the links that apply to you.

Items can be edited, reordered or archived, but never deleted, so nothing a guide has already acknowledged ever loses its place in the record.

Each guide confirms, once a season

Guides see the list at the top of their profile, and a reminder on their home screen stays until they’ve finished. For each item they open the link, then tick a statement confirming they’ve opened, read and understood it for the season.

A season runs from March 15 to March 14, so a fall rifle hunt and the late-season hunts after New Year fall in the same season and need one acknowledgement, not two. When March 15 comes around, the list opens again for the new season.

See who’s done at a glance

While the checklist is active, your guide roster gains a column showing each guide’s progress for the current season, such as 0/3 or 3/3, so you can see who still has reading to do before opening week without chasing anyone. Open a guide’s record and you’ll find their Season acknowledgements: where they stand this season, and every acknowledgement they’ve made for your operation, including items you’ve since archived.

A record that doesn’t change after the fact

Each acknowledgement keeps exactly what the guide saw: the title, the link, any note and the statement they confirmed, along with their name, the date and time, and the device they used. If you update a link next season, earlier acknowledgements still show the version that was acknowledged. If a guide leaves your team, their acknowledgements stay in your records. There’s no export; print the guide’s record page when you need a paper copy.

That record shows who confirmed reading which document and when. It doesn’t replace your own judgment about what your guides need to know, or any training your licensing authority requires.

On every plan

The season checklist is included on every Hunt Outfitter plan, including the free Starter plan, where a solo operator can use it to keep their own record from their profile. If you run a team, setting it up takes a few minutes. Start with our free plan and add this season’s links before opening day.
