Add vs. invite: getting your guides into the guide app
Invite sends a login. Add Guide only puts someone on your roster. Here's which to use and how to invite a guide who's already listed.
The Guides page has two buttons that sound alike but do different things.
- Invite (the button with the envelope icon): enter their email address, and they get an invitation email with a sign-in link to the guide app. Use this for anyone who should see their hunts, calendar, and tasks.
- Add Guide: puts someone on your roster without emailing them, for example to plan assignments before you're ready to bring them in. They show as "Invite pending" until invited.
Invite a guide who's already on your roster
- Open Guides and click the guide's name.
- Click Invite to Portal. If an invite was already sent, the button says Resend Invite.
- The invitation link works for 7 days. If it expires, the email has a link to request a new one, or they can use the sign-in page.
A guide who hasn't signed in yet gets no system emails at all, including availability requests and hunt reminders. If you imported your roster, invite each guide before the season starts. See "Why a client or guide isn't getting emails".
Cooks work the same way from the Cooks page: Invite Cook sends a login, Add Cook only rosters them, and a rostered cook's page has Invite to portal.
