Set up lodging and assign bookings to rooms and cabins
Enter the lodges, rooms and cabins you house hunters in, assign each booking to a unit for its nights, and see who's sleeping where on the occupancy grid.
If you house your hunters, Lodging keeps track of who sleeps where, and on which nights, inside the booking itself. You set up your lodges and the rooms or cabins under them once, assign each booking to a unit, and the occupancy grid shows every unit against the nights ahead. When a hunt moves, its lodging moves with it.
Lodging is on the Solo or Pro plan and above. See current plans and pricing at huntoutfitter.app/pricing.
Lodges and units
A lodge is a building with rooms or cabins under it; a unit is what a booking is assigned to. A standalone house or wall tent can be a unit on its own, with nothing above it. If you haven't entered a lodge's rooms yet, you can assign the whole lodge for now. Once you add rooms under it, new assignments go to the rooms, and anything already assigned to the lodge stays as it is.
- Open Lodging from the Camp section of the left nav.
- Click Add lodge or unit and give it a name. For a unit, add how many it sleeps, and optionally an address and notes for your staff (“no pets”, “generator off at 10”).
- To put rooms or cabins under a lodge, use Add unit on that lodge.
- Reorder units to match how you think about them. A unit you stop using can be deactivated; it's never deleted, so past stays keep their history.
Assign a booking to a unit
Each booking has a Lodging card. Pick a unit and the check-in and check-out dates fill in for you: from the client's own travel details if they've entered them, otherwise from the arrival and departure dates on the booking, otherwise from the hunt dates and your default arrival pattern (the night before the hunt through the morning after, unless you've changed it). Headcount is prefilled from the party size plus companions. You can change any of it, and check-out is the morning they leave.
- A large group can be split across more than one unit: add a second row on the same booking.
- For a hunting party, assign lodging once, on the booking that pays, with the whole party's headcount. The other party members' bookings don't need their own rows.
- Several bookings can share a unit. If an assignment would put more people in a unit than it sleeps on any night, you'll see a warning and can choose Assign anyway. A unit with no “sleeps” number never warns.
- Cancelled, no-show and on-hold bookings free their beds automatically.
When a hunt's dates change
Moving a hunt (from the booking form, a reschedule, an approved change request, resuming from hold, or moving a day's hunts on the calendar) shifts its lodging nights by the same number of days in the same save. If only the end date changes, the nights stay as they are and the Lodging card shows a hint that they no longer match the stay, so you can adjust them.
The occupancy grid
Open Occupancy from the top of the Lodging page. Every unit, grouped under its lodge, is laid against the next 14 nights by default (you can look ahead up to 60). Each cell shows the number of people against how many the unit sleeps, turns amber when it's over, and opens the booking when you click it.
Who sees lodging
Owners and admins set up lodging and make assignments. Other staff can see a booking's lodging, and guides see it read-only on their own bookings. Clients don't see their room or cabin assignment. Lodging is separate from Hotels, which is the list of nearby third-party hotels you recommend to clients.
On the Business plan, the Turnover button on the Lodging page and the housekeeper role build a cleaning list from these same assignments; see “Give your housekeeper a turnover list”.
