Managing Hunting Lodge Rooms and Cabins in Hunt Outfitter

If you house your hunters, you already know the part of the season that never makes it into the booking software: a whiteboard in the lodge kitchen, or a spreadsheet tab, showing which party sleeps in which cabin on which nights. It works until a hunt moves by two days and nobody moves the names, or a party of eight arrives at a cabin that sleeps six. Hunt Outfitter now keeps that board inside the booking itself, so the nights follow the hunt instead of trailing behind it.

Set up your lodges, rooms and cabins once

You describe your lodging the way you’d draw it. A lodge can have rooms or cabins under it, and a standalone house or wall tent can stand on its own. Each one gets a name, an optional number of beds (“sleeps 6”), an address if it’s somewhere other than the main camp, and notes for your staff, such as “no pets” or “generator off at 10.” If you haven’t counted the rooms in a lodge yet, you can assign the whole lodge for now and split it into rooms later without losing anything you’ve already booked. Units you stop using are deactivated rather than deleted, so last season’s history stays intact. The lodging help article walks through the setup screen by screen.

Assign a booking to a room in a few taps

Each booking now has a Lodging card. Pick the unit and the check-in and check-out dates are already filled in: from the client’s own travel details if they’ve entered them, otherwise from the dates on the booking, otherwise from your camp’s usual arrival and departure pattern (say, the night before the hunt starts through the morning after it ends). Headcount comes from the party size plus companions, and you can change any of it. A large group can be split across two houses, and a hunting party is assigned once, on the booking that pays, with the whole party’s headcount.

When an assignment would put more people in a unit than it sleeps, Hunt Outfitter warns you rather than refusing. Sometimes the extra person really is on a cot in the corner, so you can choose Assign anyway and carry on. Cancelled, no-show and on-hold bookings give their beds back on their own, without anyone deleting a row.

When a hunt moves, the lodging moves with it

This is where the whiteboard usually lets you down. In Hunt Outfitter, moving a hunt’s dates (from the booking form, a one-tap reschedule, an approved change request from the client, or moving a day’s hunts on the calendar) shifts that booking’s nights by the same number of days in the same save. If only the end date changes, the nights stay put and the booking flags the mismatch so you can decide.

See who’s sleeping where, night by night

The occupancy grid lays every unit, grouped under its lodge, against the next two weeks of nights (you can look out as far as 60). Each cell shows how many people are in that unit against how many it sleeps, turns amber when it’s over, and opens the booking when you click it. It’s the view to check before you say yes to a late booking, and the one your lodge manager will want open on Sunday night.

Who sees what

Owners and admins set up lodging and make assignments. Guides see the lodging on their own bookings, read-only, so they know where their hunters are staying. Clients don’t see their room assignment, which leaves you free to shuffle cabins without a round of emails. This is also separate from recommended hotels, the list of nearby hotels you can show clients who aren’t staying with you.

Lodging assignment doesn’t put a price on a room, so if you charge for lodging, keep billing it the way you do today.
