Set up how you get paid: card, wire transfer, and check
Connect Stripe so hunters can pay by card from their portal, choose which payments take cards, add your wire transfer details, and record wire, check, and cash payments when they arrive.
Your hunters can pay you two ways. They can pay by card from their portal, through your own Stripe account. Or they can pay offline by wire transfer, check, or cash, and you mark the payment received. Most outfits use both: cards for deposits, for example, and wire for large balances. You choose per payment type.
1. Connect Stripe to take card payments
- Open Billing from the left nav and find the Client Payments card.
- Click Set Up Payments. You'll go to Stripe to enter your business and bank details. Stripe needs this to verify your account and pay you out.
- When you finish, you come back to Billing. The card shows Pending Review while Stripe verifies you. That usually takes a few minutes but can take up to a business day. Click Refresh status to check.
- Once the card shows Payments Active, hunters see a Pay Now button on their invoices.
Card payments get you paid faster with less chasing. Hunters pay from their portal, each payment is marked paid automatically, and reminders stop on their own. The booking fee is added at checkout and paid by the hunter, not taken out of your payout, so you receive the full trip price.
If the Client Payments card shows something else
- Setup not finished or Onboarding Required: you started with Stripe but didn't finish. Click Continue Onboarding to pick up where you left off.
- Action required: Stripe needs more information, and payouts may be paused until you provide it. Click Update account details.
- Pending Review: Stripe is still verifying you. There's nothing to do but wait and use Refresh status.
2. Choose which payments hunters can pay by card
- Open Payments from the left nav, then the Configuration tab.
- Click Edit on the Payment Configuration card.
- Under "Allow credit card / Stripe payments for", tick the payment types hunters may pay by card: deposits, balance payments, license fees, tax payments, trophy fees, add-ons, other payments.
- Click Save Payment Configuration.
Any type you leave unticked won't show a Pay Now button. Hunters see your wire transfer details for it instead. A common setup is cards for deposits and wire or check for trophy fees and license fees.
3. Add your wire transfer details
On the same Payment Configuration card, fill in Wire Transfer Details. Hunters see exactly what you type here, on their portal, whenever a payment can't be paid by card. If you leave it blank, they're told to contact you for payment details, which usually means an email back and forth before you get paid.
- Bank name and the account holder's name exactly as the bank has it
- Account number, plus the routing number (U.S.), transit and institution numbers (Canada), or branch code (South Africa)
- SWIFT/BIC code for international transfers, and the bank's address if your bank asks senders for it
- What to put in the payment reference. The booking code is the easiest to match.
Everyone with a booking can see these details in their portal, so only enter what you'd put on an invoice. Never enter online-banking logins or PINs.
4. Mark offline payments as received
- When a wire, check, or cash payment arrives, open the booking.
- On the payment row, click Mark Paid.
- In Record Payment Received, choose the payment method (Wire Transfer, Check, Cash, and so on), set the date received, and add a note if you like, such as a check number or wire reference. Click Confirm Paid, and the hunter's portal and your receivables update right away.
Marking offline payments paid requires the Basic plan or higher. The exception is outfits based in a country where Stripe isn't available: they can record offline payments on every plan, including Starter.
Outfits in South Africa, Kenya, Tanzania, Zambia, and Zimbabwe
Our card processor, Stripe, can't open merchant accounts for businesses based in these countries yet, so the Client Payments card shows a Set up wire transfer details link instead of Set Up Payments. Everything else works as normal. Add your wire details (step 3), send invoices as usual, and mark payments received as they arrive (step 4). You can set your organization's currency, for example South African Rand, in Settings.
Optional: require signed documents before payment
Also on the Payment Configuration card: tick "Require signed documents before payment" if hunters must sign their documents, such as waivers and contracts, before they can pay anything.
