Add a client, invite a client
Add Client builds a profile and emails nobody. Invite sends a sign-in link to your client portal. Here's which to use, where Invite lives, and why inviting early matters.
The Clients page has two buttons that sound alike but do different things.
- Add Client: builds their profile. Only first name, last name, and email are required, and the rest of the steps can wait. Adding someone sends them nothing, so you can load clients and set up bookings before anyone hears from you.
- Invite (the button with the envelope icon): emails a sign-in link to your client portal. At the top of the Clients page it asks only for an email address, then creates the client and sends the link in one go. Use it for someone who isn't on your list yet. They show a placeholder name until their details are filled in.
Where to find Invite
- The top of the Clients page, for someone new. It won't accept an email that's already one of your clients.
- A client's row on the Clients page, if they haven't been invited yet. The Needs Invite filter lists them.
- The client's own page: click Invite to Portal.
- The Client card on a booking (owners and admins).
Add a client and invite them
- Open Clients and click Add Client.
- Enter their first name, last name, and email, then work through the steps and click Create Client.
- You land on their page. Click Invite to Portal.
If you're about to book them, create the booking first and invite from the booking's Client card. When a client has an upcoming booking, the invite names the hunt and its start date, whichever button you use. Without one, it's a general invitation.
Sending the invite isn't the last step. Most booking, document, and payment emails stay held until the client has opened the portal once, so a client who was never invited, or who hasn't clicked the link yet, won't get them. The invite itself always sends. See "Why a client or guide isn't getting emails".
A client under 18 can't be invited. Their parent or guardian's account handles things for them, so link the guardian on the client's page and invite the guardian. See "Hunters under 18: guardian signing and consent".
Guides have their own version of this. See "Add vs. invite: getting your guides into the guide app".
