Google Calendar sync: your hunts, and your busy days
Connect your own Google account and your hunts appear on your calendar automatically, while the days you're busy in Google stop being bookable.

Two things move, in opposite directions. Hunt Outfitter writes the hunts you are entitled to see into a calendar it creates in your Google account and keeps that calendar current on its own. In return it asks Google when you are busy — only whether you are busy, never what you are doing — and marks those days unavailable so nobody books you into them.
Setting it up
Owners, admins and sales members open My Account and find the Google Calendar card. Guides find the same card on their Availability page. Connect your own Google account from there. The connection belongs to one person in one organization — the Connect button names the organization you are in when you click it, so if you work for more than one outfit you connect each separately and can always see which one you are connecting.
Google Calendar sync is on the Solo or Pro plan and above. Everyone connects their own Google account; nobody can connect on someone else’s behalf.
What appears on your calendar
Hunt Outfitter creates one calendar named “Hunt Outfitter — your outfit” and writes only into that one. Nothing else in your Google account is ever touched. What lands there follows your role: owners, admins and sales members see every active booking plus the outfit’s shows and expos, while a guide sees only the hunts they are on, and no shows. Each hunt is an all-day entry showing the client’s full name, the hunt type and the status, with the booking code, status, guide, package and a link back to the booking. No phone numbers, email addresses, medical notes or client notes ever reach a Google calendar.
Hunts are managed in Hunt Outfitter. If you drag or edit one of these entries in Google, the change is overwritten — within a day on its own, or straight away if you press Sync now. Change the booking in Hunt Outfitter instead.
Busy days
- Hunt Outfitter reads only busy and free time from your main Google calendar. Event titles, guests and locations are never sent and never stored.
- A day is blocked when you’re busy all day, or for four hours or more between 6 am and 6 pm — so an evening appointment never costs you a hunt day.
- One tap on that day in your Availability calendar keeps it open anyway. An override you set by hand always beats Google.
- Busy days refresh every 15 minutes, and Refresh busy days on the card does it immediately.
If you also use the calendar feed
The calendar subscription feed shows you the same hunts this sync does, so having both means seeing every hunt twice. Pick one — either remove the subscribed feed in your calendar app, or disconnect this. See the Calendar subscription article for the feed.
Disconnecting
Disconnecting stops both directions immediately. Upcoming hunts are removed from the Hunt Outfitter calendar in your Google account, because Hunt Outfitter no longer manages them and a frozen hunt sitting on your phone is worse than none at all. The calendar itself stays, renamed with the date you disconnected, and it keeps your past hunts. Days you marked busy in Google stop blocking bookings right away. If you connect again later Hunt Outfitter creates a fresh calendar rather than reusing the old one, which is why the old one is renamed.
