Google Contacts sync: caller ID for your clients
Connect your own Google account and let Hunt Outfitter keep your clients and leads in your address book automatically — no re-exporting.
Google Contacts sync is the automatic version of the phone-contacts export. Instead of downloading a file and importing it again every time your list changes, Hunt Outfitter writes your organization's clients and leads straight into a contact group in your own Google account and keeps them current — so a hunter calling you shows up by name without anybody maintaining an address book by hand.
Setting it up
Open My Account and find the Google Contacts sync card, then connect your own Google account. The connection belongs to one person in one organization — the Connect button names the organization you are in when you click it, so if you work across more than one outfit you can see which one you are connecting, and you connect each separately. Only owners and admins can connect.
Google Contacts sync is on the Business and Elite plans, and requires an owner or admin.
Who gets synced
- Clients with at least one booking in your organization, as long as they have not been archived — the same set the phone-contacts export uses.
- Leads, except any marked Spam, Lost, or Unresponsive.
- A lead who has converted into a client is one contact, not two.
What gets synced
Name, phone number, email address, and an organization label reading "Hunt Outfitter · your outfit". Nothing else on a profile ever reaches an address book — no dates of birth, licence numbers, medical notes, addresses, tags, or payment history. Contacts land in a group named "Hunt Outfitter — your outfit", so they stay separate from the rest of your contacts.
How often it updates
Every hour, automatically. There is also a Sync now button on the card when you want the change on your phone immediately rather than waiting for the next run.
Changes and removals
- Edit a client or lead in Hunt Outfitter and the contact is updated on the next sync.
- Archive a client, or mark a lead Spam, Lost, or Unresponsive, and the contact is removed.
- Only contacts Hunt Outfitter created are ever changed or deleted. Contacts you saved yourself are never touched, and a run that would remove an unusually large share of the ones it created stops without writing anything.
- An update rewrites the synced fields as a whole, so a second number you add by hand to a synced contact is replaced the next time that client changes — keep extra numbers on a separate contact.
Sync runs one way only: Hunt Outfitter to Google. Editing a contact in Google Contacts does not change anything in Hunt Outfitter.
Disconnecting
Disconnecting stops Hunt Outfitter writing to your Google account. The contacts already synced stay where they are — we stop writing, we do not reach back into your address book and delete them. If you reconnect later, Hunt Outfitter adopts the existing group and reclaims the contacts it created before (up to 2,000 members of that group) rather than creating a second copy of everyone.
