Tracking draw applications
Run your yearly state-draw campaign: build the applicant list, work it by phone, record what everyone applied for, and log results.
Draw hunts start months before anyone can book: your hunters have to be drawn by the state first. Draws gives that campaign a home — who is applying, what they applied for, who they applied with, who submitted it, and what they drew.
Set up a draw
- Go to Hunts → Draws and create a draw for the state and license year you are applying for — the year the hunts happen, not the year you apply.
- Add your outfitter registration number and this year's attach code. Many states reissue the attach code annually, so check it before applications open.
- Add your hunt codes under Hunt codes. Type them the way you say them on the phone; you can map them to your seasons later.
Build and work the list
Add applicants from your existing clients, or import a spreadsheet. As you call through the list, use Log on each row to record what happened, move their status, and set a date to chase them again. The tracker defaults to showing only people who still need something.
Record what they applied for
Open an applicant to enter their ranked choices, the party they applied with, their application and attach numbers, and the fee arrangement you agreed. Most states allow three choices, plus a fourth quadrant choice for deer and elk.
Never enter a card number, security code, or a hunter's login for the state's website anywhere in this app. The fee panel records the last 4 digits and the card brand only, as a receipt for a payment you made on the agency's own site. Uploads that still contain login, CIN, card, expiry, CVC or SSN columns are refused — delete those columns from your spreadsheet before importing.
Labels
Tag clients with your own relationship labels — deposit holder, premium member, friends and family, deal hunt — and filter the tracker by them. Labels describe the relationship, so they stay useful outside the draw as well.
